TERMS & CONDITIONS: It is further agreed that the LESSOR will not be responsible for the safety of the property of the LESSEE from theft, damage by fire, accident or other cause, but will use reasonable care to protect the LESSEE against such damage. It is further agreed that the LESSOR shall not assume any liability and loss, for injury to life or property by reason of the operation of the LESSEE at the NY State Recreational Vehicle Show. Exhibitor guidelines, listed below, hereby become part of this agreement. The LESSOR shall have full power to enforce these terms and may, upon written notice to the LESSEE, establish additional guidelines for the management and control of the show. Should the LESSEE fail to observe the terms of the agreement or any of the exhibit guidelines thereof, the LESSEE may be required to remove his/her exhibit from the show area and be prohibited from the show area and be prohibited from further exhibition therein with forfeiture of rental charge. Members of the Recreation Vehicle Dealers Association of Syracuse, Inc. shall be given priority in the sales of exhibit space. Any available exhibit space remaining may be offered, by invitation only, to non-members, subject to approval of the show committee. The final decision on acceptance of any exhibit rests with the Show Committee and that decision is without recourse.
All Exhibits must have some direct relation to the Recreation Vehicle Industry. Categories include recreation vehicles of all types, accessories, associated products and products normally employed while in the use of said recreation vehicles. All displayed items must be new and unused merchandise unless otherwise specified.
The 2024 Spring NYS RV Show and Sale will be held at the Center of Progress, Horticulture, State, Exposition Center and Exhibit Center Buildings, New York State Fairgrounds, Syracuse, NY,
Exhibits must be in place prior to the opening of the show. Adding or removing equipment after opening or before the closing of the show must have approval of the show manager.
Booth exhibitors will have from show closing to 10pm and 8am to 12 noon, Monday immediately following the show dates to dismantle and remove their exhibits.
No exhibitor shall assign, sublet, or apportion the whole or any part of his allotted space nor display any goods other than those manufactured or sold by them in the regular course of business.
Fire Marshall’s rules require that gasoline tanks of equipment be drained. The use of explosive or flammable liquids, butane, propane gas and helium filled balloons are prohibited.
The Lessor reserves the right to restrict exhibits or exhibitors which, because of noise or any other reason, shall interfere with the best interests of the exhibits. The use of sound devices, megaphones, flashing lights, loudspeakers, side show tactics, or undignified methods of attracting attention are prohibited.
The applicant or exhibitor will hold the Lessor, its agents, servants and employees harmless from any damage, expense or liability arising from the injury or damage, including death, to the applicant or exhibitor, his agents, servants, employees, or any other person or other property of a said applicant, occurring in the exhibit buildings, the approaches and entrances thereto the yards adjoining the same.
Any sums deposited by the applicant with the Lessor shall be retained by Lessor, in the event the applicant fails to fulfill this agreement and the Lessor shall be entitled to the full sums agreed upon for the rental of such space whether the same is used or not by the applicant.
In all cases, exhibitors desiring to insure themselves against fire, theft, public liability, etc., must do so at their own expense. The Lessor will carry public liability insurance for injury to exhibit visitors and their agents and employees, which may occur in the aisles and corridors of the exhibit halls. Lessor’s employees are not covered when on space rented by exhibitor. The Lessor will provide watchman’s service but does not guarantee against loss by theft or damage.
Exhibitors agree to comply with all rules and regulations of the New York State Industrial Authority which may now be in existence, or which may hereafter, be made. No decorative material shall be nailed, tacked, screwed, or otherwise physically attached to any part of the exhibit hall or any of the fixtures therein. Decorative and display materials may be attached by means of cords, ropes, or ribbons, or in any way which will not mar, deface, or damage the exhibit hall or any fixtures therein, provided written consent of the exhibit hall to the method of such attachment shall first be obtained.
No price signs of any type may be placed on the outside of any unit in the show. Any posted price sign inside the unit must be for the unit as shown and must be of “reasonable” size (8 1/2’x11”) in proportion to the amount of copy. Price signs placed inside the unit must be arranged for inside not outside viewing.
It is understood and accepted by each applicant or exhibitor that each display or exhibit must stay complete and intact until management announces the show officially closes each day.
It is understood and accepted by each applicant/exhibitor that there will be no deportment (drinking, partying, arguing) that reflects badly on the NYS RV Show and Sale
All matters not covered in these conditions are subject to the decision of the show committee.
